Artwork and file prep

Good decoration starts with the file you send. Here is what works best for each method, and how to get the colours right.

What should I send for each method?

What we need depends on the method. Embroidery is forgiving: send almost any logo file and we recreate it. DTF transfers and UV stickers print from your art, so they want clean vector files.

* An ✗ does not mean we cannot help. If you do not have vector art, send the best version you have and we will redraw your logo as vector before we print. The redraw is part of the prep, so send your art early.

What is embroidery digitizing?

An embroidery machine does not read a logo. It follows a stitch file that sets every stitch, its direction, and the order it sews. Turning your art into that file is called digitizing.

We digitize in house, once per design, and keep the file on record so reorders run with no new setup. DTF transfers and UV stickers skip the stitch file, but they still take a bit of prep. We clean up the artwork first so it prints sharp, with no halo or stray colour around the edges, and there is a small setup charge for that. They print from the cleaned file rather than thread, so fine detail and gradients still come out well.

How do I get the colours right?

Screens lie about colour. The same logo looks different on every monitor. The reliable fix is to give us the Pantone (PMS) code, or a hex code, for each colour in your art. For embroidery we match it to the closest thread we carry. For DTF and UV stickers we calibrate the print to it.

Thread is matched, not printed, so the closest thread can sit slightly off a printed Pantone chip. To see how a Pantone or hex colour maps to our threads before you order, try Bossa ThreadMatch. Put your codes on the quote and we will confirm the colours with you.

What embroidery can and cannot hold

Thread has a real thickness, so embroidery has a floor on fine detail. It is excellent for bold shapes, solid fills, and clean lettering. It struggles with hair-thin lines, tiny text, and smooth colour fades.

  • Keep embroidered text around 1/4 inch in height or larger, or small letters fill in.
  • Thicken hairline outlines so they do not drop out.
  • For gradients, photos, or very fine detail, DTF prints them better than thread can stitch them.

Not sure which way to go? Send the art and tell us where it is going. We will point you to the method that holds up.

How to send it

Attach your files to the quote form, or email them. A quick checklist before you send:

  • Send vector art (AI, EPS, PDF) if you have it.
  • No vector? Send the best version you have and we will redraw it.
  • If a logo was digitized before, send the EMB file. We prefer EMB over DST.
  • If you have Pantone or hex codes for your colours, include them. No problem if you do not.
  • Tell us the garment or item and where the logo goes.
Common questions

Send it anyway. We will tell you if it is usable as is or if we need to redraw it first. For a simple logo that is often a quick job.

Digitizing is a one-time setup per design. Once it is done it stays on file, and reorders of the same design do not pay it again.

Send a Pantone code, a hex code, or a physical sample. For embroidery we match the closest thread we stock. For DTF and UV stickers we calibrate the print. If a fabric will not hold an exact match, we tell you before we run it.

Send it as early as you can. The setup happens before anything runs, so the sooner we have your files the sooner we can proof. Most orders are ready about a week after you approve the proof, and we offer rush or same-day on timelines we have accepted, so tell us the date you need.

Often, yes. Send the stitch file if you have it, and we prefer EMB over DST because it keeps the design editable. If only a DST is available we can still run it, though some edits may mean redrawing the file.
